Privacy Policy

MCY Site Services, LLC d/b/a Sitebotics ("we," "us," or "our") operates sitebotics.io (the "Site") and provides Sitebotics Visibility, a visibility intelligence platform for solo operators, lean agencies, and consultants, hosted at visibility.sitebotics.io (the "Service"). This Privacy Policy explains what information we collect, how we use it, how we protect it, and your rights regarding your personal information.

What information is collected

We collect the following categories of personal information:

Contact Information: Full name, email address, business name, mobile phone number (when provided during a demo or sales conversation), business address, and role or title.

Demo and Sales Records: Records of phone calls, video demos, text messages (SMS), emails, and inquiries related to evaluating Sitebotics products.

Communication Records: Notes from demo calls, sales conversations, emails, and SMS exchanges with our team.

Technical Information: IP address, browser type, device information, and pages visited on our Site (via our hosting provider's aggregated, anonymized analytics).

SMS Consent Records: When you provide verbal consent to receive SMS during a phone call or video demo, we log your consent along with a timestamp, the staff member who confirmed your consent, and the phone number opted in.

How data is used

We use the information we collect for the following purposes:

  • To respond to demo requests and sales inquiries
  • To schedule, confirm, and follow up on product demos
  • To communicate with you about Sitebotics products via SMS, email, and phone
  • To send transactional notifications including demo confirmations, scheduling updates, and account-related service updates
  • To respond to inquiries submitted through our contact channels
  • To process requests for access to Sitebotics Visibility and other Sitebotics services
  • To comply with legal, tax, and regulatory obligations
  • To improve our products, Site performance, and customer experience
  • To prevent fraud and enforce our Terms of Service

Google integrations and connected account data

Sitebotics Visibility lets an authorized agency user connect Google Search Console, Google Ads, and Google Analytics 4 (GA4) to a selected client workspace. Each product is connected separately with your authorization through Google. You choose the property or account to connect, and Google controls the permissions you grant or revoke. We do not receive your Google password.

What Google data we access

  • Google Search Console: The properties available to your Google account and their access permissions, the property you select, and search performance reports such as queries, pages, clicks, impressions, click-through rate, average position, dates, countries, and devices.
  • Google Ads: The selected customer ID and optional manager ID; account name, currency, and time zone; campaign and ad-group settings; budgets and bidding configuration; keywords, search terms, negative keywords, targeting, costs, clicks, impressions, and conversion metrics. Read-only evidence can also include conversion settings, Google recommendations, auto-apply settings, and recent change history, including the user email addresses returned by Google for those changes.
  • Google Analytics 4: The selected numeric property ID, property name, currency, and time zone; aggregated reports about landing pages, traffic sources, campaigns, devices, countries, sessions, engagement, events, and key events. Purchase and revenue metrics are collected when you request ecommerce evidence.
  • Connection records: Google authorization tokens and granted permissions, the account-to-client mapping, connection status, collection timestamps, and operational information needed to maintain and troubleshoot the connection.

Why we use this data and what the integrations do

We use connected Google data to verify the account or property you selected, produce reports and historical comparisons, identify visibility and acquisition issues, and show supporting evidence to authorized users of your agency workspace. Reports may be combined with the client context and website evidence in that workspace to provide these features.

These integrations implement reporting reads. Sitebotics does not use them to create, modify, or delete Google Ads campaigns, ads, budgets, or bids, or to change your Analytics or Search Console configuration. Google's Ads authorization scope includes write permissions, but Sitebotics does not implement Google Ads mutation operations. Connecting an Ads account or GA4 property does not start evidence collection: an agency administrator requests collection manually. Automatic Ads and GA4 refresh is off.

Storage, protection, and who can access Google data

Authorization tokens are stored on the server in encrypted secret storage and are not displayed in the client interface. Imported reports, account mappings, and collection records are stored in the Service's database. Access is restricted to authorized agency users and the backend services that operate the relevant features. We use encrypted connections when transmitting this data.

Vercel hosts the application and processes connection requests. Supabase provides database and secret storage. Trigger.dev runs background collection jobs and processes the data needed for those jobs. These providers process connected Google data as needed to deliver the Service. Invitation emails are sent through Resend using invitation and recipient information; Google authorization tokens and imported Google reports are not included in those invitation emails.

Expert Council AI review of connected Google evidence is currently disabled. Connecting a Google service does not enable that review. Before enabling new AI processing of Google data, we will explain the data and providers involved and obtain any additional consent required. Sitebotics does not use connected Google data to train general-purpose AI models.

Limited Use of Google data

Sitebotics' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements where applicable. We do not sell connected Google data or use it for advertising, retargeting, credit decisions, or data brokerage. We limit its use to the disclosed user-facing features. Transfers are limited to providing those features with your consent, security purposes, applicable legal requirements, or a business transfer with any consent Google requires. Human access by our personnel is limited to your affirmative agreement for specific data, security or abuse investigation, legal requirements, or permitted aggregated internal operations.

Retention, revoking access, and deletion requests

We retain imported Google reports and connection records while needed to provide your agency's reporting history and the Service, subject to verified deletion requests and applicable legal obligations. Revoking Google access does not automatically erase previously imported reports or revoke other agency members' access to those reports.

You can revoke the application's Google permissions from your Google Account's third-party connections. Revocation stops future access through that authorization. Google's removal options may affect more than one permission granted to Sitebotics, so review the permissions shown before confirming removal.

To request deletion of stored Google reports, connection records, or authorization credentials, contact info@sitebotics.io and identify your agency and the relevant account or property. Do not email passwords or tokens. We verify your authority over the requested records before processing the request and explain any records that must be retained for legal or security reasons. We do not promise that revocation, account closure, or a request instantly removes historical copies or backups.

SMS opt-in details

Sitebotics collects mobile phone numbers to send transactional SMS messages related to product demos, sales conversations, and account communications.

How customers opt in:

  1. Provide verbal consent during a phone call or video demo with our team at (832) 979-6133. Our team will explicitly confirm your consent to receive SMS communications and log the timestamp and the staff member who confirmed your consent.
  2. Provide written consent via email reply confirming you wish to receive SMS communications, sent to info@sitebotics.io.

Consent is not a condition of evaluating, demoing, or purchasing any Sitebotics product.

Types of SMS messages sent:

  • Demo and meeting confirmations
  • Scheduling updates and reminders
  • Sales conversation follow-ups
  • Account and service updates
  • Responses to inquiries

Message frequency: Varies based on the status of your sales conversation or account. Typically 1 to 4 messages per active conversation.

Fees: Message and data rates may apply per your mobile carrier's plan.

Opt-out: Reply STOP to any message at any time to unsubscribe from SMS communications. You may also reply UNSUBSCRIBE, CANCEL, END, or QUIT. After opting out, you will receive a final confirmation message and will no longer receive SMS from us.

Help: Reply HELP to any message for assistance, or contact us at (832) 979-6133.

Rejoining: To resume SMS communications after opting out, re-opt in through any of the methods listed above.

No mobile information sharing

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, excluding aggregators and providers of the text message services.

This no-sharing policy applies specifically to:

  • Mobile phone numbers collected during opt-in
  • SMS consent records and timestamps
  • Mobile device identifiers

Mobile opt-in data is used solely for the purpose of providing service-related SMS communications to the customer who provided consent.

How information is used with service providers

We use trusted service providers, and only as needed to operate our business, to perform specific functions:

  • Email Delivery: Google Workspace (for operational correspondence) and Resend (for Sitebotics invitation delivery)
  • SMS Delivery: A third-party SMS delivery provider (for transactional SMS delivery only)
  • Website Hosting: Vercel
  • Application Data Storage: Supabase (for application records, imported reports, authentication, and server-side secret storage)
  • Background Processing: Trigger.dev (for scheduled or requested application jobs, including data collection and invitation delivery)
  • Sales and CRM: GoHighLevel (for managing sales conversations and contact records)

These service providers act on our behalf to perform specific functions and are bound by contractual obligations to protect your information. We do not authorize them to use your information for their own purposes.

All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, excluding aggregators and providers of the text message services.

We may disclose your information if legally required, such as in response to a court order, subpoena, or government investigation, or if necessary to protect our legal rights or the safety of others.

Cookie and tracking information

Our Site uses minimal cookies and tracking technologies. Vercel, our hosting provider, may collect aggregated, anonymized analytics about Site usage including page views, referrer, and approximate geographic region. The Service also uses cookies to maintain your sign-in session and protect Google authorization requests. We do not use third-party advertising cookies or tracking pixels for marketing purposes.

You may disable cookies through your browser settings.

Data security practices

We use reasonable administrative, technical, and physical safeguards to protect your personal information, including:

  • SSL/TLS encryption for all data transmitted via our Site
  • Access controls and authentication for internal systems and CRM
  • Regular security updates and monitoring of our hosting environment
  • Limiting employee and contractor access to personal information on a need-to-know basis

No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

User rights

Depending on your state of residence, you may have the following rights regarding your personal information:

  • Right to access: Request a copy of the personal information we hold about you
  • Right to correction: Request correction of inaccurate or incomplete information
  • Right to deletion: Request deletion of your personal information (subject to legal retention requirements, such as tax records)
  • Right to unsubscribe from SMS: Opt out of SMS communications at any time by replying STOP
  • Right to unsubscribe from email: Opt out of email communications via the unsubscribe link in any email
  • Right to update information: Request updates to your contact information at any time

Data retention

We retain personal information for as long as necessary to provide services, comply with legal obligations (including tax and accounting records, typically 7 years), resolve disputes, and enforce agreements. SMS opt-in consent records are retained for the duration of the opt-in and at least 4 years thereafter. Connected Google data is handled as described in the Google integrations section above; the tax-record example is not a blanket retention period for Google reports.

Children's privacy

Our services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we become aware that we have collected such information, we will delete it promptly. Our SMS program is intended for users aged 18 or older.

Changes to this Privacy Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision. If we change how we access or use Google data beyond the purposes previously disclosed, we will notify affected users and request any required consent before using the data in that new way.
